Per a recent Qualtrics study, employees are 230% more engaged and 85% more likely to stay greater than 3 years if they have technology that supports them at work. Proactively monitoring hardware age/warranty status is crucial to this support, and RPA is here to help!
As ACR analysis shows the average SME (250 employees) has over 130 PCs and 3-10 in-house servers, one can understand how time-consuming it is to monitor hardware warranty expiration dates proactively. Most organizations must manually search vendor support websites for each computer, then find, confirm, and record the warranty information in their technology tracking system, which takes hours for 150+ devices. Fortunately, Robotic Process Automation (RPA) can be utilized to research, track and monitor hardware warranty expirations to ensure that every employee has current, warranted, and productive technology to support them in their activities at work.
An RPA-enabled hardware monitoring tracking process operates as follows:
- On a recurring schedule (ex., weekly, monthly, etc.), a bot would extract current hardware inventory information from the IT Asset Management (ITAM) system (ex., in-house, Atera, Spiceworks, JIRA, etc.)
- Once extracted, the bot would go to the appropriate support website (ex., Dell, Lenovo, HP, Apple, etc.) and, using the machine ID / serial number, retrieve the current warranty status and expiration date.
- The bot would then update the ITAM with the current warranty status and expiration date of all hardware
- Lastly, the bot would compile a Warranty Notification Report with all pending expirations (ex. next 90 days) and expired hardware and forward this report via email to the designated parties.
Equipping your employees with current and warranty-enabled technology is key to maintaining long-term organizational and team member success. Let RPA handle the “robotic” tasks surrounding managing your hardware warranty expirations, so your IT team can proactively focus on ensuring best-in-class technical support and service.
